ROOTS ACADEMY DANCE POLICIES

These are the operational policies for ROOTS Academy’s dance program. Enrollment also requires acceptance of our Enrollment Agreement at rootsacademy.com/enrollment-agreement, which covers payment, liability, photo release, and other legal terms common to all ROOTS programs.
REGISTRATION AND ENROLLMENT
A $50 non-refundable registration fee is due at enrollment for each dance season to secure the student’s class placement.
The first tuition payment is due between August 10–15, depending on the season start date, and is prorated. Students who enroll after the season has begun pay tuition prorated to their start date, due at registration.
TUITION AND FEES
Tuition is charged per student and calculated on the student’s total weekly class time. Tuition is determined based on the total number of classes from August to May and divided into 10 equal monthly installments. This provides consistent billing regardless of how many class meetings fall in a given month.
A 10% sibling discount is available for families enrolling more than one student in the dance program.
Tuition is not prorated or refunded for absences, vacations, weather closures, holidays, or Recital Picture Week. Missed classes are non-refundable.
A minimum of 7 students per class is required to run. If ROOTS Academy permanently cancels a class, a credit or refund will be issued for the affected portion upon request.
Recital fees are billed separately and are non-refundable and non-transferable once paid, including in the case of withdrawal, as they contribute to recital preparations already underway.
A 2.89% credit card processing fee applies to all credit card payments made with Visa, Mastercard, or Discover. This fee reflects ROOTS Academy’s actual cost of processing credit card payments. The following payment methods are not subject to this fee: debit cards, ACH bank transfers, checks, and cash.
Late fees, declined-payment fees, account suspension for non-payment, and collections are governed by the Enrollment Agreement at rootsacademy.com/enrollment-agreement.
MAKE-UPS
Make-up classes are available for Toddler, Preschool, Peewee, and Mini level classes only. Make-ups are offered September through January. No make-ups are offered after January due to recital preparation, and no make-ups are offered for weather closures, holidays, or Recital Picture Week.
Make-ups must be scheduled within one month of the missed class. Students may make up a class during another class time at their same level or below, subject to capacity. Email dance@rootsacademy.com to schedule a make-up.
Make-up classes are not offered for Junior, Teen, or Senior level dance classes.
ATTENDANCE
Students should not attend when sick. ROOTS reserves the right to dismiss a student exhibiting symptoms.
STUDIO CLOSURES
ROOTS Academy observes major holidays. Weather-related closures will be announced by email and through the app. ROOTS does not follow public-school closure decisions; check email, app, and the website for weather updates.
WITHDRAWAL
Submit a request via the dance withdrawal form at rootsacademy.com/dance/dance-withdrawal by the 15th of the month. Withdrawals take effect on the 1st of the following month. The student may attend remaining classes through the end of the current billing cycle. Withdrawals cannot be processed retroactively.
Recital fees paid before withdrawal are non-refundable and non-transferable.
PHOTO AND VIDEO
ROOTS Academy does not publish a minor student’s full name in any public-facing context. Where a minor student’s name appears in public-facing contexts — including marketing (social media, website, ads, flyers, signage) and the online recital program or app — ROOTS uses at most the student’s first name and last initial. The student’s full name may appear only in internal program materials, including printed recital programs handed out at the show, the memory book, hallway displays, classroom rosters, and similar non-public contexts.
By default, ROOTS Academy may use your child’s face for both public-facing and internal use, subject to the naming rule above. To opt out, complete the form at rootsacademy.com/media before your child begins classes. 30-DAY SATISFACTION GUARANTEE
We’re confident your child will love ROOTS Academy. If you’re not completely satisfied, we’ll refund 100% of tuition and registration fees paid to date, subject to the conditions below.
1) Available to first-time ROOTS Academy students only.
2) Notify our office of your concerns in writing (email is acceptable) before your 3rd class, giving us a reasonable opportunity to address them.
3) If concerns are not resolved to your satisfaction, you may request a refund after attending all 4 classes within your first 30 days.
4) Refund requests must be submitted in writing within 7 days of the 4th class.
By checking the Dance Policies box at enrollment, I confirm that I have read, understand, and agree to these policies. Separately, I acknowledge ROOTS Academy’s Enrollment Agreement at rootsacademy.com/enrollment-agreement, which governs payment, liability, and other legal terms.
