ROOTS ACADEMY MUSIC POLICIES

These are the operational policies for ROOTS Academy’s music program. Enrollment also requires acceptance of our Enrollment Agreement at rootsacademy.com/enrollment-agreement, which covers payment, liability, photo release, and other legal terms common to all ROOTS programs.

REGISTRATION AND ENROLLMENT

A $50 registration fee is due at enrollment to secure the student’s lesson day, time, and mentor. The first month’s tuition is prorated and processed the day lessons begin.

All private lessons must begin within 2 weeks of the registration date. If a lesson day or time is not yet confirmed at registration, the first payment is due when confirmed by the Music Program Coordinator.

TUITION AND FEES

Tuition is based on 45 lessons per year, paid in equal monthly installments. This provides consistent billing regardless of how many weeks are in a given month — breaks and holidays are already accounted for in the rate. Tuition is not prorated or refunded for absences, vacations, weather closures, or holidays.

Participation in performances is encouraged but not required. RMA Fest is ROOTS Academy’s signature music recital, held multiple times per year. Performance fees are billed separately based on the number of performances selected and are non-refundable once paid.

Ensemble, course, class, and workshop fees vary by type, duration, and frequency and will be communicated prior to registration.

A 10% family discount is available for music students within the same family once combined weekly lesson time reaches at least 90 minutes. The discount applies to the lesson(s) that bring the total to 90 minutes or more, applied to the lowest-cost eligible subscription. Discounts do not apply to performance fees.

A 2.89% credit card processing fee applies to all credit card payments made with Visa, Mastercard, or Discover. This fee reflects ROOTS Academy’s actual cost of processing credit card payments. The following payment methods are not subject to this fee: debit cards, ACH bank transfers, checks, and cash.

MAKE-UPS

Cancel at least 24 hours in advance to be eligible for a make-up lesson. Make-ups are limited to 1 per month, per lesson type. Schedule make-ups via the mentor’s designated make-up day or any available time through the ROOTS Music Portal at rootsacademy.opus1.io.

Make-up credits expire 30 days from the cancelled lesson date. Credits issued because ROOTS could not provide the service (mentor absence, studio event, etc.) do not expire as long as the student remains enrolled. Group lessons, classes, and ensembles are not eligible for make-ups.

NO-SHOWS

No notice = no make-up. Students who have not arrived within 15 minutes of the start time are considered a no-show, and the mentor is released. Four consecutive no-shows result in removal from the schedule — the student’s day, time, and mentor are forfeited. ROOTS will make every effort to contact the family before taking this action.

ILLNESS

Students should not attend when sick. ROOTS reserves the right to dismiss a student exhibiting symptoms.

MENTOR ABSENCE

If a mentor is unable to teach, ROOTS will provide a substitute and notify you in advance. If no substitute is available, the lesson will be rescheduled regardless of the once-per-month make-up limit.

LESSON HOLD

Students needing a temporary break may request a hold for 1–2 months via the Music Lesson Hold form at rootsacademy.com/music/music-lesson-holds, no later than the 15th of the month prior to the start of the hold period. Holds preserve the student’s day, time, and mentor with no new registration fee upon return.

60% of the monthly tuition is charged during the hold period. Up to 2 lessons per month may be kept at the regular time. Tuition returns to the full rate automatically at the end of the hold. Students are permitted up to 2 total months of holds per calendar year, which may be used as either one 2-month hold or two separate 1-month holds.

WITHDRAWAL

Submit a request via the student withdrawal form at rootsacademy.com/music/music-lesson-withdrawal by the 15th of the month. Withdrawals take effect on the 1st of the following month. The student may attend remaining lessons through the end of the current billing cycle. Any remaining make-up credits are forfeited. Withdrawals cannot be processed retroactively.

PHOTO AND VIDEO

ROOTS Academy does not publish a minor student’s full name in any public-facing context. Where a minor student’s name appears in public-facing contexts — including marketing (social media, website, ads, flyers, signage) and the online recital program or app — ROOTS uses at most the student’s first name and last initial. The student’s full name may appear only in internal program materials, including printed recital programs handed out at the show, the memory book, hallway displays, classroom rosters, and similar non-public contexts.

By default, ROOTS Academy may use your child’s face for both public-facing and internal use, subject to the naming rule above. 30-DAY SATISFACTION GUARANTEE

We’re confident your child will love ROOTS Academy. If you’re not completely satisfied, we’ll refund 100% of tuition and registration fees paid to date, subject to the conditions below.

1) Available to first-time ROOTS Academy students only.
2) Notify our office of your concerns in writing (email is acceptable) before your 3rd lesson, giving us a reasonable opportunity to address them.
3) If concerns are not resolved to your satisfaction, you may request a refund after attending all 4 lessons within your first 30 days.
4) Refund requests must be submitted in writing within 7 days of the 4th lesson.
